1. If I have a question about a payroll tax law, can I contact ConnectPay?
Certainly! We pride ourselves on the knowledge of our customer service representatives. Please call or email questions any time and they will be more than willing to help!
2. Will all year end work be done if my payroll is converted to ConnectPay mid-year?
Yes. We will produce a complete W-2 for your employee that includes any wages they have earned from you that you have reported to us.
3. Why is Section 125 not on my W-2?
Medical and dental premiums and medical flexible spending amounts are not required to be reported on form W-2. Dependant care flexible spending is reported in Box 10 on form W-2.
4. Why can my employee not have a social security number that begins with a 9?
A number that begins with a 9 is a tax identification number, not a social security number. A tax identification number allows a person to file a tax return, but does not give him or the right to work in the United States.
5. How do I change the address of my business?
Fill out Form 8822 that can be found on http://www.irs.gov/ and send it to the IRS.
Individual states may have different procedures to change the company address. Contact your local customer service representative and he or she will assist you.
6. What is the Social Security Tax wage base this year?
Go to http://www.ssa.gov/OACT/COLA/cbb.html for a complete listing of the Social Security Wage base by year.
7. My employee worked at another company this year and hit the Social Security limit. Does he or she have to pay Social Security as my employee?
Yes, he or she must pay Social Security on wages earned up to the current years limit at each job. The overpayment of Social Security tax should be reported when he or she files a personal income tax return. It will be adjusted on their personal income tax return.
8. Why are the employee and employer taxes more at the beginning of each new year?
For employees, tax tables can change in the beginning of a new year. They should verify with their CPA or tax professional that they are claiming the correct number of exemptions on form W-4.
For employers, State and Federal Unemployment taxes generally stop in the middle of the year due to wage limits. On January 1st, the wage base starts again causing a higher tax liability.
9. How long does it take my direct deposit to start working?
Direct Deposit begins in the first payroll after the employee completes the ConnectPay direct deposit authorization form in its entirety and provides bank verification including the routing and account numbers.
10. What do I do if an employee loses his or her W-2 or a demographic change needs to be made?
Contact your customer service representative at ConnectPay. Demographic changes will be made and a new W-2 will be mailed within 7 business days.
11. Why is my W-2 different from my last check stub?
Pretax deductions and 401k will decrease the amount in Box 1 of form W-2. True gross wages appear on the pay stub. Taxable wages appear on the W-2 form.
12. What should I do if I receive a penalty notice?
You should fax the notice immediately to ConnectPay. The tax department will contact the agency and get back to you within 20 business days.
13. How does DD benefit my employees?
Direct deposit is a convenient, easy way to be paid. The employees do not have to go to the bank to cash their checks, which will save them, time and money.
14. My employees DD has not yet posted. Why?
Banks have up to 48 hours after the check date to post money into an employees’ bank account. Employees should contact their bank directly to find out if there is a deposit pending.
15. Do you offer paperless payroll?
Of course! Paperless is a fast, efficient, and secure way to receive your payroll reports and pay stubs.
16. Can my CPA get copies of my payroll and quarterly reports?
Yes. ConnectPay can email payroll and quarterly reports to your CPA directly with authorization from our clients.
17. My business name changed - What do I need to do?
Please forward to your customer service representative IRS verification of the name change and the Articles of Incorporation.
18. I fired an employee - what do I need to do?
States have their own laws on how quickly a terminated employee must be paid. Please contact your customer service representative to be sure you are in compliance.
19. What is included in your Direct Tax Services?
Each payroll, ConnectPay will collect payroll taxes on behalf of our clients and their employees. We will make the payments and tax filings timely.
20. What is the difference between a W-2 and a 1099 employee?
Determining whether a worker is a 1099 or W-2 can be difficult. The IRS relies on the “Common Law Test” in making worker status determinations. Please contact your CPA to be sure that you have your workers classified correctly.
A W-2 employee is trained by the employer, only works for the employer, and the employer controls the methods and results of the work to be done. Employee wages are subject to FIT, SIT, FICA, SUTA, FUTA, workers compensation, etc.
